# From confirmed PO to delivered goods

When a customer sends a purchase order, turn the enquiry into a sales order in one click. Track every dispatch, return, and rupee delivered against it.

## From a yes to delivered

One continuous thread runs from the customer’s purchase order to the receipt in their inbox — no record entered twice, every step accounted for.

1. **Attach the purchase order** — Record the PO number, PO date and the scanned document against the enquiry. The status moves to PO Arrived, and the Purchase Order card shows the number, date, who uploaded it and the document count.
2. **Formalise into a sales order** — From the enquiry actions menu choose Convert to Sales Order and confirm. The new order appears in the Sales Orders list carrying every product line, price and charge, with the source enquiry still linked behind it.
3. **Upload each delivery** — As stock leaves, record a delivery against the order with the quantity and date. Current stock is shown for each product code so you never promise what you do not have, and the delivered-versus-pending split updates on its own.
4. **A second pair of eyes** — If your firm requires it, the slip waits in Pending Approvals for another user to approve, reject or edit. Only approved deliveries draw down stock and count towards the order, so nothing moves your figures until someone has checked it.
5. **Email the delivery receipt** — Once approved, send the customer a delivery receipt with the product table, an optional PO copy and the slip’s own attachments — worded the way your firm wants, sent to the right contact person, and stamped so it can never go out twice.

## The moment a customer says yes, captured

A confirmed deal should not mean re-typing everything you already entered. Intigra carries the whole enquiry forward and starts tracking what leaves your godown against it.

### Turn an enquiry into a sales order

Once the customer’s purchase order is recorded against the enquiry, formalise it into a sales order from the actions menu. The order and the original enquiry stay linked, so nothing you already typed is lost.

- Convert to Sales Order is unlocked only after a PO has been attached to the enquiry
- Confirm once in the Formalise into a Sales Order screen and the order is created
- Every product line, price and additional charge carries forward untouched
- Each new order lands in the Sales Orders list with its own detail screen
- The order and its source enquiry stay connected for life

### Record what actually went out

Upload a delivery against the order each time stock is dispatched. The order keeps a running count of how much has left the godown and how much is still owed to the customer.

- Upload Delivery records the stock sent along with the dispatch date
- Current stock for each product code is shown before you commit a dispatch
- View Delivery History shows every dispatch entry raised against the order
- Attach a challan or proof of delivery with each slip
- Delivered and pending figures recompute the moment a delivery is approved

### Approve before it counts

Deliveries can require a second person’s sign-off before they reduce your stock. A slip raised by one user waits in a queue for another to check, so a single mistake never quietly draws down inventory.

- Pending Approvals routes a new delivery to a second user for review
- Approve, reject with a confirmation, or edit slips according to permission
- Only approved deliveries draw down stock and count towards the order
- Once approved, a delivery is locked and can no longer be edited
- Owners can demand a compulsory attachment on every slip before it submits

### See the money on every order

The Order Value card sums the order at a glance — what it is worth, what has been delivered, and what is still pending — with the tax portion shown alongside each figure so the numbers always reconcile.

- Value shown both before GST and including GST
- Delivered value with a progress bar and the delivered percentage
- Pending value, where delivered plus pending always equals the total
- Each delivered and pending amount notes its tax portion alongside
- Additional charges carried from the enquiry shown in their own read-only summary

## Confirm the dispatch to the customer, in their words

*Proof of delivery*

Once a delivery is approved, email a clean confirmation straight from the app. The wording, the recipients and the attachments are all set by your firm, so every receipt looks the same and reaches the right person — and every send is tracked from the moment you press the button.

- Only approved receipts that have not yet been sent or ignored appear in the list
- The send modal shows order details, delivery details and the products delivered
- Attach the PO copy and the slip’s own files, each toggled per send
- Subject and body are firm-customisable with customer, PO and product tokens
- Recipient by contact person, a fixed mailbox, or the sender’s choice at send-time
- Ignore Sending the Receipt cleanly clears in-house deliveries and samples
- Each send moves through queued, processing and success or failed
- The first send or ignore stamps the receipt, so it can never go out twice

## The full order toolkit end to end

Everything the module does, grouped the way you work — finding orders, reading them, dispatching against them, handling what comes back, and keeping every change accountable.

### Browsing and finding orders

- **Sales Orders list** — The home of every confirmed order, headed Track and manage customer orders, with a View button on each row that opens its full detail screen.
- **Quick inline search** — Filter the list as you type by customer, contact person and PO number to land on the right order in seconds.
- **Delivery status filter** — Narrow the list to All Statuses, Delivered or Pending Delivery so you can see at once which orders still owe goods.
- **Advanced filters** — Go deeper with product, head and date-range filters when the inline boxes are not enough to isolate what you need.
- **Toggle Columns** — Show or hide table columns to shape the Sales Orders view around the information you actually care about.
- **View Deleted Orders** — With the matching permission, reopen the deleted-orders view to restore an order or remove it permanently.

### Inside an order

- **Order summary cards** — Cards for Customer, Order Info, Order Value, Contact Person and Purchase Order put the whole deal on one screen.
- **Products table** — Each product line expands to show the make, HSN code and descriptions, so the full specification is always one click away.
- **Additional charges table** — A read-only summary of every charge carried over from the enquiry, listing type, amount, tax percent, line total and remark with the combined total including tax.
- **Universal note** — When a note is attached to the deal, it surfaces on its own card on the order so an important instruction is never buried.
- **Additional Attachments** — Attach, view or remove documents linked to this specific order, keeping the supporting paperwork beside the record it belongs to.
- **Delete Order** — Remove an order through a clear confirmation screen that explains, when it applies, exactly why an order cannot be deleted.

### Dispatch and the delivery screen

- **Three tabs, one screen** — The Delivery Receipt screen under Inventory holds Pending Deliveries, Pending Approvals and Delivery History, with the tabs you see decided by your permissions.
- **Current stock at a glance** — The Pending Deliveries table shows firm-wide available stock for each product code, with anything at zero highlighted in red, so you see what is ready to go without leaving the page.
- **Prices come from the order** — A slip stores no prices of its own — on multi-product slips, Cost per Unit and Total are pulled from the parent order, figured after any discount but before tax.
- **Find any slip, sort any way** — Inline boxes search by customer, contact person and PO number, while Advanced Filter adds head, code and three independent date ranges, with sort by upload, delivery or PO date.
- **Edit and locking rules** — Edit your own pending or rejected slips, while an approved slip is locked, so a record cannot be quietly changed after it has counted.
- **Compulsory attachment** — Owners can require proof such as a challan on every delivery, with the app warning and the server rejecting any slip that submits without a file.

### Returns and connections

- **Return Entry** — Reverse stock the customer sent back directly on the order, adding the goods back into inventory without a separate adjustment.
- **Removing an approved return** — Taking back an approved return removes that stock again and recomputes the order, so the delivered figure always matches reality.
- **Source short items from suppliers** — Add To RFQ Cart launches a supplier RFQ straight from the order, with no need to re-enter the lines you already have.
- **Supplier prices and POs** — Supplier Quoted Prices shows what each supplier offered on an enquiry-sourced order, and Supplier POs Placed lists the purchase orders you raised with them.
- **Copy Order** — Duplicate this order’s lines into a brand-new enquiry, ready to go, when the same customer comes back for more.
- **Mail History and Quotation Attachments** — Mail History shows the quotations sent for this order’s enquiry, and Quotation Attachments keeps the files that went out with the original offer.

### Audit and accountability

- **Update logs** — A running record of who changed what and when on the linked enquiry, so every edit behind an order has a name against it.
- **Deleted Dispatch Logs** — A permanent, read-only audit of every removed delivery, searchable by customer, contact person, product head and code.
- **Frozen delivery snapshots** — Each removed slip keeps a full snapshot of its customer, products, quantities and locations along with who deleted it and when.
- **Reopen a deleted delivery** — View any deleted delivery exactly as it was, with a banner naming the person who removed it — purely a record, with no actions to change it.
- **Associated Party Expense** — Record a contact person or intermediary’s expense against the deal, kept as an internal note that never touches the customer’s quotation.
- **Sales dashboard rollup** — The Sales tab folds every order into firm-wide PO value, delivered value and pending value for the date range you choose, cached for the whole team.
