# Billing

The *Billing* tab is administrator-only and covers the firm's storage usage and on-demand backups.

## Open the tab

1. Open *Settings* in the sidebar.
2. Pick *Billing*. The page heading reads *Billing*.

## Storage

The *Storage* card shows how much of your firm's quota is in use, for example `12.4 GB / 50 GB used (24.8%)`.

Click *Manage* to open the storage breakdown. The breakdown groups usage into logical categories — for example, *Products & Makes*, *Enquiries & Quotations*, *Purchase Orders*, etc. — so you can quickly see where space is going without being overwhelmed by individual line items. Click any group row to expand it and view the detailed breakdown within that category. Free space by removing old attachments from the relevant records.

### What counts towards storage?

Storage usage includes:

- **User-uploaded attachments** — files attached to enquiries, products, purchase orders, invoices, deliveries, expenses, etc.
- **Email attachments** — PDFs generated when you send quotations, purchase orders, or RFQs via email. Each send creates a PDF stored in your firm's quota.
- **Firm assets** — your firm logo and user KYC documents (Aadhar, PAN images).
- **Text data** — the actual records (customers, enquiries, products, etc.) in your database.

When usage crosses the warning threshold a *Storage Warning* dialog appears at login showing the current percent used. From the warning you can jump straight to the *Billing* tab. If usage reaches 99 percent only administrators can use the app; at 100 percent non-admin logins are blocked until space is freed.

## Backup and restore

The *Backup & Restore* card lets the firm owner — or any user with the *admin* permission — take a full backup or request a restore.

- *Download backup* — confirms with a *Download full backup?* prompt, then streams a single archive of the firm's database and uploaded files to your device. Large firms may take several minutes; the button shows the bytes streamed in real time.
- *Email restore link* — confirms with a *Send restore link?* prompt, then emails a one-time link to the firm's address. Opening that link kicks online users out of the firm and replaces all data with the contents of the archive you upload. Only one link per firm per day.

If the restore link cannot be sent, you will see a message explaining why — for example, the daily limit, missing platform mailer, or no email on the firm profile.

## Common questions

### Why is *Billing* missing for me?

The tab is only visible to administrators. Ask whoever set up the firm.

### What happens when storage runs out?

You receive *Storage Warning* dialogs as you approach the limit. At 99 percent only administrators can use the app; at 100 percent non-admin logins are blocked. Free space or remove old attachments to restore normal access.

### Can I restore a backup I already downloaded?

Yes — request a restore link with *Email restore link*, then open the emailed link and upload your archive. The restore replaces all firm data with the archive contents and signs every online user out.

### Do email attachments count towards storage?

Yes. Each time you send a quotation, purchase order, or RFQ via email, the system generates a PDF that is stored and counted. The breakdown shows these as *Quotation PDFs*, *Purchase Order PDFs*, and *RFQ PDFs* respectively.
