Connect a listening inbox
The AI section lets the system watch a Gmail inbox and turn incoming emails — enquiries, sales orders, and supplier quotations — into ready-to-review drafts. This page covers connecting that inbox.
The AI section only appears when AI features have been enabled for your firm. If you don't see it, contact your administrator.
What access is granted
When you connect an inbox, Google asks you to grant read-only access to that mailbox. The system can read incoming mail to draft documents for you. It cannot send, reply, delete, label, or change anything in your mailbox.
Connect an inbox
- Open AI → Connect Inbox.
- Click Connect inbox.
- A new browser tab opens for Google sign-in. Choose the mailbox you want watched and accept the read-only permission.
- Return to the app — the connection is detected automatically and the inbox appears in the list as Active.
Only mail that arrives after you connect is processed. Your existing back-catalogue is never imported.
Manage connected inboxes
The Connect Inbox page lists every inbox you've connected, with its status:
- Active — being checked every few minutes.
- Needs reconnect — Google access expired or was revoked. Click Reconnect and sign in again.
To stop watching a mailbox, use the trash icon to Disconnect. Items already staged in the AI Inbox from past emails are kept; only future polling stops.
How often is it checked?
Connected inboxes are polled on a fixed interval (about every ten minutes). New emails are processed in the background, so you'll simply see them waiting the next time you open the AI Inbox.
